Private Flight Group, an innovative international technology company, is at the forefront of delivering innovative software and process solutions in the private aviation sector. As we navigate towards success, we currently lead with a world-class Catering Management Platform and are aiming to unveil a Flight Management Platform.

We are actively seeking an Executive Assistant covering maternity leave for a fixed term from as soon as possible until January 2025. The position will be 40-50% workload, spread over 4-5 days.

As the ad-interim Executive Assistant, you’ll be the CEO’s right hand, ensuring seamless operations and providing comprehensive support across various domains, including communication, calendar management, travel arrangements, event planning, financial support, office management, document handling, and personal assistance. Your proactive approach and attention to detail will be crucial in maintaining efficiency and professionalism during this period of transition.

Responsiblities:
  • Calendar Management: Maintain CEO’s calendar across timezones, schedule meetings, and resolve conflicts.
  • Meeting Preparation: Create agendas, prepare CEO, take minutes, and follow up on action items.
  • Travel Arrangements: Plan CEO’s travel, including flights, accommodations, and documentation.
  • Communication: Manage emails, draft correspondence, and ensure professionalism.
  • Document Management: Organize electronic and physical files, maintain confidentiality.
  • Event Planning: Coordinate events, manage logistics, and track expenses.
  • Financial Support: Assist with expense tracking, reporting, and invoice processing.
  • Office Management: Oversee day-to-day office activities, maintain supplies, and ensure a professional environment.
  • Personal Support: Provide support to CEO’s personal needs, coordinate with external services.
  • Ad-hoc Support: Assist the CEO with any unexpected operational or project needs that arise.
Our ideal candidate will have:
  • Availability as soon as possible until January 2025.
  • Proven experience (5+ years) as an executive assistant or similar role.
  • Excellent command of the English and German language, both written and verbal.
  • Ability to work onsite.
  • Excellent organizational and communication skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in calendar management, travel planning, and document handling.
  • Strong attention to detail and problem-solving abilities.
  • Flexibility to adapt to changing priorities and schedules.
